A CLEAR PATH FROM CONVERSATION TO NOTES
Choose your starting point.
Connect a calendar for online meetings, invite your assistant with a link, record an in-person session with Live Notes, or upload a recording. Every route leads back to your meeting workspace.
Controls shown in your account may depend on your plan, processing state and feature availability. Follow the status and confirmation in the app before repeating an action.
Open NotemGetting started with Notem
Notem is a browser-based AI notetaker for online meetings, in-person conversations, interviews, classes and uploaded recordings. It turns captured speech into a transcript and organized notes.
How do I create a Notem account?
Start with Get Started Free or Log in on the Notem website. Use an available sign-in option and complete its verification. You do not need to create a separate Notem account for every calendar you connect.
- Connect one Google Calendar or Outlook account during setup, or choose Continue without calendar.
- Choose Professional or Student and complete the profile questions.
- Name your assistant, choose your notes email audience and confirm attendance preferences.
- Choose an available trial, subscription or Pay As You Go option. Complete any required checkout, then open Home.
Connect Google Calendar and Microsoft Outlook
Connect calendar accounts to discover eligible online meetings. Notem requests read-only calendar access and does not read your email inbox.
How do I add multiple Google or Outlook accounts?
You can connect more than one account from the same provider, as well as a mix of Google and Microsoft accounts. Each connected account is shown with its email address.
- Open Settings → Calendars.
- Choose Add calendar, then Add Google Calendar account or Add Outlook account.
- In the provider account chooser, select the account you want to add and allow the required read-only permissions.
- Return to Calendars and check the email address and Connected status. Repeat for another account.
How do I refresh, reconnect or disconnect one account?
Open the options menu beside the account email to Refresh its calendar data or Disconnect it. A connection that needs attention offers Reconnect; choose the account named on that row during authorization.
Reconnecting the same provider account updates its existing connection. Choosing a different account adds another connection. Disconnecting one account stops future syncing for that connection and clears its stored credentials; other connected accounts and existing meeting notes remain available.
An organization may require its administrator to allow Microsoft or Google access. If authorization is denied or incomplete, finish the provider’s permission flow or use a manual meeting link, Live Notes or a recording upload.
Which meetings will my assistant join?
In Settings → Calendars, find Which meetings should the agent join? Choose all eligible meetings, meetings you organize, or invite-only attendance, using the options shown in your account. Calendar-based auto-join needs an active connection and a supported meeting link.
Adding another calendar does not reset an established attendance choice. For an individual scheduled or active bot meeting, open Bot attendance to stop the bot or prevent it joining that occurrence. This does not cancel the external calendar event.
Invite Notem to Zoom, Google Meet or Teams
Use an eligible synced calendar event or paste a supported online-meeting invitation link. Your account allowance and meeting-platform admission rules still apply.
How do I invite my assistant to join now?
Invite now requests an immediate join. A link alone does not reliably include the meeting name, attendees or start time. A matching synced calendar event can supply that context.
- Open Home or Meetings and choose Invite followed by your assistant’s name, or use Paste link on Home.
- Paste the complete HTTPS Google Meet, Zoom or Microsoft Teams invitation link, including its required passcode parameters.
- Optionally enter a meeting name and choose Join now. Select Invite now.
- Open View meeting to follow its status. Admit the assistant from the meeting lobby if the platform asks you to do so.
How do I schedule a meeting invitation for later?
When Schedule for later is available, choose a future date, time and timezone before confirming. A matching future calendar event can prefill the time; review it before submitting. Notem attempts to dispatch about one minute before the selected time, on its next scheduler run. Actual admission depends on the meeting platform and host.
For example, you can save a 4 PM meeting at 2 PM and schedule the invitation for 4 PM. Choosing Join now at 2 PM would instead request an immediate join. Scheduling accepts times at least one minute ahead and within 90 days. If scheduling is unavailable, choose Join now when your meeting is about to start.
Find a saved invitation in Meetings → Upcoming. Choose Manage invitation there or in the meeting workspace to change the time, join now or cancel the invitation before joining begins. If the linked calendar event moves before joining, the invitation follows its new start time.
How do I know whether the bot has joined?
Follow the meeting’s current status rather than assuming an invitation means admission. Scheduled means a future or pending join; joining means entry is being attempted; a live capture state means the assistant is in the conversation. Ended and processing do not yet guarantee that notes are ready.
If the host denies entry, the link is invalid or the assistant is not admitted, open the meeting for its next steps. Where offered, a retry or rejoin control applies to that meeting. Avoid repeatedly submitting the same link while an invitation is active.
Use Live Notes for in-person meetings and classes
Live Notes captures your device microphone in the browser and displays a live transcript. It does not need a bot to join an online meeting.
How do I start Live Notes?
Use a device and microphone that can clearly hear everyone, and obtain any required recording consent before starting. Live Notes uses your existing account allowance.
- From Home, select Start Live Notes.
- Enter a Session title. Choose Meeting, Interview or Lecture/Class under Mode.
- Choose Concise or Detailed under Notes. Start the session and allow microphone access when your browser asks.
- Keep the recording page available and place the device where speakers can be heard clearly. Check that speech appears in the live transcript.
What is the difference between Pause, Close and End Session?
Pause temporarily stops capture; Resume continues the same session. Closing Live Notes while recording pauses it; closing the dialog is not the same as ending and processing the session.
To finish, select End Session and confirm End Session. Allow Notem to save and process the captured content, then open the meeting workspace for the refined transcript and AI notes. The live transcript is provisional and may differ from the processed version.
What should I do if Live Notes loses connection?
Read the recovery status and retry instructions shown in the app. Reopen the active session to restore saved content or use Retry saving when offered. Preserve the same browser and its site storage until recovery finishes.
Unfinished words at the moment of interruption may be missing. Do not assume that closing a tab saved or processed everything, and do not clear browser data while a session reports unsaved content. If a microphone permission is denied, enable it in your browser’s site settings and try again.
Upload an existing audio or video recording
Upload Recording turns a supported file into a transcript and generated notes. Uploading a file does not invite a bot to a new meeting.
How do I upload a recording?
Supported formats shown in the upload dialog are MP3, WAV, M4A, MP4, AAC, FLAC, OGG, WebM, AIFF, AMR and ASF, up to 100 MB per file. Choose a recording you are entitled to process.
- Choose Upload Recording from Home or Meetings.
- Drop the file into the dialog or choose a file. Check the selected filename and optional Meeting title.
- Select Upload Recording and wait for transfer and validation.
- When the recording is accepted, open its meeting workspace and follow transcription and notes processing.
What if an upload or processing stage fails?
Keep the original recording. Use the retry shown for an interrupted upload or choose a different supported file if the format or content is rejected. An upload reaching 100% can still be validating and saving; wait for acceptance.
If the meeting later reports that notes processing stopped, use Retry processing when offered in its workspace. A processing retry is different from uploading the same file again. Contact support if the saved source is unavailable or repeated retries fail.
Review transcripts, summaries and meeting notes
Open Meetings → View to read the captured conversation and generated output. The available sections reflect the meeting’s mode and processing state.
Where are Summary, Key Notes, Decisions and Action Items?
Open the meeting workspace and use its sections to move between the overview, Key Notes, Transcript and applicable decisions or action items. Student sessions focus on learning notes and concepts; interview sessions organize evidence and follow-ups from the conversation.
Generated output depends on what was actually captured. A meeting may have no clear decisions or action items. Review important names, dates, commitments and facts against the transcript before relying on them.
How do I search my meetings or a transcript?
Use Notem’s meeting search to find saved meeting records and generated notes. Open a meeting and use its internal search to locate matching notes or transcript passages where available. Transcript access depends on the 90-day retention window.
In Meetings, use My meetings or All meetings as appropriate, and switch between List and Calendar for navigation. Shared-note references saved to your account remain subject to the owner’s sharing permissions.
What can I rename or edit?
The meeting owner can select Rename meeting in the workspace, change its title and save. The original calendar event is not edited by renaming the recorded meeting in Notem.
Mark an action item open or completed using its checkbox where editing is available to the owner. Use Copy controls to copy supported note sections. The current workspace does not offer a general document editor for rewriting every generated summary or transcript; copy text into your own document when you need a custom version.
Share notes and manage action items
Share generated notes with a revocable link, or choose a notes email audience. Public sharing does not include your private transcript.
How do I choose who receives notes by email?
In Settings → Notes, find Notes sharing and choose Only me, My organization or All meeting participants. Review the audience before processing sensitive conversations.
Participant delivery needs known, eligible attendee email addresses from a connected calendar. Notem does not guess addresses from names; declined attendees are excluded. Organization delivery uses eligible addresses in the owner’s organization domain, not common personal email domains. Standalone links, Live Notes and uploads without known attendee addresses deliver notes to the owner only.
How do I track follow-ups?
Open Action Items to review saved follow-ups across your meetings. Read the task, identified owner and due date, and open Context where available. A missing owner or due date means it was not established in the generated record.
Use an editable action checkbox to mark completion or reopen a task. Public shared views show task information without granting the owner’s editing controls.
Personalize your assistant and notes
Settings separates your account information, calendars, notes preferences, appearance and privacy controls.
How do I change my assistant’s name?
Open Settings → Notes → Your assistant. Enter the name you want and save it using the available control. If the name is rejected, choose another name and retry.
The meeting participant label identifies the assistant and its owner as a notetaker. Updating the saved name applies to future bot creations; an assistant already inside a meeting is not renamed mid-call.
How do I change my note-taking style or use case?
In Settings → Notes → Notes preferences, choose Professional or Student and complete the fields shown for that profile. Professional settings include your role and general or interview use; Student settings include education level and what you are studying. Choose Concise or Detailed notes and save.
These preferences guide subsequent processing; saving a preference does not automatically rewrite historical notes. For a new Live Notes session, the Mode and Notes controls let you choose the session’s format before recording.
How do I change my profile or theme?
Use Settings → Account to review your name, email and device timezone and make any supported profile changes. Do not assume that a displayed account field is editable.
Use Settings → Appearance to choose an available theme. Appearance is a device preference and does not change the content or recipient audience of your notes.
Notem pricing, subscriptions and Pay As You Go
Subscriptions count successfully processed meetings. Pay As You Go uses Notem Balance and billable meeting-bot usage. Check Billing and checkout for the current offer applicable to your account.
What plans does Notem offer?
The public pricing page lists a 7-day free trial with up to 7 meetings, Basic at US$8 per month with 1,000 minutes per month, and Pro at US$18 per month with 2,500 minutes per month. Pay As You Go is advertised at US$0.01 per billable minute. These are the published USD figures checked for this guide; available plans, taxes and the final payable amount are shown in your account and checkout.
Basic and Pro use the actual recorded duration of successfully processed meetings, rounded up separately to a whole minute for each meeting: a 30-minute recording uses 30 minutes, while a 10-minute, 1-second recording uses 11. Two recordings of 30 seconds each use 2 minutes in total. Each monthly renewal charges the subscription again and resets Basic to 1,000 minutes or Pro to 2,500 minutes. Unused minutes do not roll over. A meeting already in progress can finish; new meetings are blocked once the allowance is used. The free trial still counts meetings. A cancelled meeting or failed bot join is not a successfully processed meeting. PAYG charges follow its separate billable usage rules; do not treat calendar slot length as measured recording duration or a guaranteed billable amount.
How do I subscribe, upgrade, downgrade or cancel?
Open Billing to review your current plan, usage and billing period. Choose an offered subscription and complete the hosted checkout. Wait for Billing to confirm the result before retrying a payment.
Available plan-change controls explain when the change takes effect. The current flow can apply an upgrade immediately and schedule a lower-plan switch for the next billing period. Read the confirmation before accepting.
Use Manage billing to open the available payment-provider portal for payment details and billing documents. To stop subscription renewal, choose Cancel subscription and confirm. Access continues until the applicable period ends as shown in Billing; cancellation is separate from deleting your Notem account.
How do Notem Balance and top-ups work?
Choose Pay As You Go in Billing and follow its setup or switch confirmation. Add an offered top-up amount or a valid custom amount, complete checkout, and wait for the payment to be confirmed. Review Balance History for recorded activity. A return from checkout alone is not proof that funds were added.
Switching a paid subscription to PAYG ends that subscription immediately under the shown confirmation: unused minutes and remaining subscription time are forfeited without a refund. For a trial, a successfully confirmed top-up switches to PAYG and ends the remaining trial. Review these consequences before switching.
A positive balance is required for new PAYG processing. Where auto top-up is available, review its amount and consent controls; a requested or unavailable setting is not the same as enabled automatic charging. Do not assume an unsuccessful or pending top-up has funded your balance.
How do I get help with a charge or request a refund?
Read the Refund Policy, then email support@notem.live with your Notem account email, transaction or invoice reference and the reason for the request. Refunds are reviewed rather than automatically guaranteed.
Paddle is the Merchant of Record for purchases it processes. Checkout, applicable taxes, invoices and approved refunds follow the relevant provider flow. Do not send your full card number, CVV or password to support.
Recording consent, privacy and data retention
Capture and share conversations only when you are authorized to do so. Follow the recording-consent requirements that apply to your meeting and participants.
How long are audio, transcripts and notes kept?
Notem’s application lifecycle retains source audio or recordings for no more than 7 days and may delete them earlier after successful processing. Transcripts are retained for no more than 90 days. Generated summaries, key notes, decisions and action items remain available beyond that transcript window, subject to account deletion and applicable policies.
If you need a separate copy of material, use the available copy controls while it is accessible. The transcript retention window does not automatically delete generated notes, imported meeting metadata or every account record.
Where can I manage privacy or request account deletion?
Use Settings → Data & Privacy to review retention, calendar-access information and account-request guidance. Disconnect unwanted calendars under Calendars and revoke sharing links from the meeting workspace.
For account deletion or other data requests, contact support@notem.live. Identity verification may be required. Read the Privacy Policy for the scope of deletion and records retained for financial, security or legal obligations. On the public website, optional analytics can be declined or changed using Analytics preferences.
Troubleshooting and getting help
Start with the status and recovery controls in the affected meeting. Avoid creating repeated invitations, uploads or payments while the original action is still pending.
Why are my calendar meeting or notes missing?
Check that the intended calendar account is Connected, refresh it, and review your attendance mode. Confirm that the event has a supported online-meeting link and that the assistant was admitted. For invite-only attendance, calendar connection alone does not request a bot join.
For uploads, wait for file acceptance and processing. For Live Notes, confirm End Session and check for saved-content or recovery warnings. An ended meeting can still be transcribing or generating notes. Open its workspace for the actual state rather than resubmitting the same source.
What if I reach my allowance or cannot sign in?
Review Billing for trial expiry, subscription allowance, payment status or PAYG balance. Existing saved notes may remain available even when new processing is blocked. Use the plan or top-up options shown for your account.
If your session expires, sign in again through the normal Notem login flow. If an organization prevents calendar authorization, ask its administrator about the consent requirement; Notem cannot override the organization’s policy.
What should I send Notem support?
Email support@notem.live with the account email, affected feature, approximate time and timezone, and the error shown. Include the meeting title or an appropriate transaction reference when relevant.
Keep passwords, verification codes, full payment credentials and private meeting transcripts out of a general support message. For a screen capture, hide unnecessary personal or meeting content.
Frequently asked questions
Can I connect several Google and Outlook calendars to one Notem account?
Yes. In Settings → Calendars, use Add calendar to connect additional Google Calendar or Outlook accounts. Each account appears with its email address and can be refreshed, reconnected or disconnected separately.
Does Notem join immediately when I paste a meeting link?
Join now requests an immediate join. When Schedule for later is available, select the meeting date, time and timezone first. A scheduled invitation is dispatched about one minute before that time on the next scheduler run; platform admission is still required.
Can Notem take notes in an in-person meeting without a meeting bot?
Yes. From Home, start Live Notes, choose the session format and allow microphone access. Pause and Resume control capture; confirm End Session to finish and process the notes.
Does changing my notes profile rewrite previous meetings?
No. Saved profile changes guide subsequent processing. You can rename a meeting and mark editable action items complete, but the workspace does not provide a general editor for rewriting every generated note or transcript.
Does a shared Notem link include the private transcript?
The public Share Notes view contains generated notes and excludes the private transcript. Anyone holding an active link can access that shared view. The owner can revoke the link.
Are Notem subscriptions billed by meetings or by minutes?
Basic includes 1,000 recorded minutes per month for US$8 and Pro includes 2,500 for US$18. Successful recordings use recorded duration rounded up separately to a whole minute for each meeting. Monthly renewal charges the subscription again and resets the allowance without rollover. The free trial remains 7 days with up to 7 meetings. Pay As You Go uses Notem Balance and billable meeting-bot usage, advertised at US$0.01 per billable minute. Check Billing and checkout for the current terms and total.
